    Responsibilities

    Performs duties and responsibilities commensurate with assigned functional area within a department(s) which may include, but are not limited to, any combination of the following tasks:

     

    ·        Front Desk Support

    o   Manage phone lines and direct calls to the proper staff

    o   Maintain guest sign in/out records through iPad

    o   Schedule meetings and book conference rooms as needed

    o   Sort and distribute mail

    o   Update Front Desk Operations Manual with applicable changes

    o   Maintain company directory and extension numbers 

    o   Check corporate voicemail and route messages to appropriate departments

    o   Provide travel logistics support to staff

     

    ·        Facilities Assistance

    o   Order/stock office & kitchen supplies for main office and Collaboration Center

    o   Contact property management for facility related requests i.e.- replacement of lights, temperature adjustments, cleaning maintenance etc.

    o   Prepare POs for office supplies and weekly company lunches

    o   Handle weekly catering for company lunches and ad hoc meetings

    o   Serve as point of contact for vendors

     

    ·        Badging/Security

    o   Generate and disable employee access badges through our Brivo System

    o   Create access badges for guests as needed

    o   Photograph all new hires for company ID badge

    o   Maintain security by following procedures, instructing all visitors to sign in through the iPad

    Qualifications

    • 2+ years of administration experience
    • High school diploma or equivalent
    • Strong writing skills

    Preferred

    • Ability to work in a team environment and have sound judgment
    • Attention to detail, quick learner, have a positive attitude, ability to multi-task, self-motivated and able to work in a fast-paced environment
    • Maintain the completeness, timeliness and accuracy of all deliverables
    • Works with limited supervision

    Technical

    • Proficient in Microsoft Office (Word, Excel, PowerPoint, etc.)

    • Exempt

    • Excellent interpersonal, communication, and organizational skills.
    • Excellent written and verbal communication skills – must be able to communicate fluently in English both verbally and in writing
    • Should be extremely facts and data oriented.
    • Should be deadline and closure oriented.
    • Strong communication, interpersonal, persuasion, facilitation and influencing skills.
    • High Energy Levels. Should be self-driven.
    • Strong analytical, organizational and project management skills.
    • Demonstrated ability to lead and work with cross functional teams including senior level individuals.
    • Must be able to thrive in a fast-paced, rapidly evolving environment with varying priorities, based on a team building culture.
